Every e-mail Bookasport sends

Appendices

Bookasport communicates by e-mail only. There are no text messages, no push notifications and no message centre in the app. This overview helps with questions like "why did I get this e-mail" and "when does my confirmation arrive".

What the e-mails look like

  • Sender. E-mails to members come from "<studio name> via Bookasport", with the address noreply@bookasport.nl. Every e-mail has the Bookasport logo in the header and the studio's name next to it.
  • Replying. If a member replies to an e-mail, the reply reaches the studio on the reply address for members (see Settings). If that is not set, the reply goes to the studio's notification address. If both are empty, a member cannot reply. The footer of the e-mail says which applies: Reply to this email and it reaches <studio>. or Questions? Contact <studio>.
  • Language. Each member chooses Dutch or English when signing up and can change it later in their profile. All e-mails to members go in that language. E-mails to the studio itself are always Dutch.
  • Not arrived? Have the member search for "via Bookasport" or for noreply@bookasport.nl, including in the spam folder.

When an e-mail arrives

Most e-mails leave within one to two minutes of the action. Bookasport puts every e-mail in a queue that is emptied every minute. If sending fails, Bookasport automatically tries a few more times, with increasing intervals (after 1, 3, 9, 27 and 81 minutes).

Two exceptions to the "two minutes":

  • Payment confirmations follow as soon as Mollie has reported the payment. Usually that is within a minute. If that report does not come through, Bookasport fetches the status itself; the member then waits at most a quarter of an hour.
  • Membership e-mails tied to a date (renewal, failed charge, suspension, termination) are created at night, during the daily run around two or three in the morning Dutch time.

E-mails to members

Around a class

E-mail When Subject (EN / NL)
Booking confirmation The member books a class, or the front desk books on the member's behalf. You're booked in for <class> / Je staat ingeschreven voor <les>
Cancellation The member cancels, or the front desk cancels the booking. The e-mail says whether the credit was returned (Your credit has been returned to your pass.) or not (You cancelled after the deadline, so this class has been deducted from your pass.). Your booking for <class> has been cancelled / Je inschrijving voor <les> is geannuleerd
Moved up from the waitlist A place freed up and the member was first on the waitlist. The member is booked in automatically and a credit is deducted. A place became available: you're booked in for <class> / Er is een plek vrijgekomen: je staat ingeschreven voor <les>
Place free, waitlist closed A place freed up after the cancellation deadline had already passed. Nobody is booked in automatically; everyone on the waitlist gets one message with the button Book now. First to book gets the place. A place is available for <class> / Er is een plek vrij bij <les>
Skipped on the waitlist A place freed up, but the member could not be booked in: no valid pass or membership, a blocked pass, or a paused membership on the class day. A place became available for <class>, but you were skipped / Een plek kwam vrij voor <les>, maar je bent overgeslagen
Class cancelled The studio cancelled the class, or the class was cancelled automatically because there were too few participants. The e-mail gives the reason and says the credit has been returned. <class> on <date time> has been cancelled / <les> van <datum tijd> gaat niet door

Note: whoever was on the waitlist of a cancelled class gets no e-mail. And with an unlimited membership no credit was ever deducted; the cancellation e-mail then always uses the sentence about "cancelled after the deadline", even for a timely cancellation. Nothing came off the pass; the sentence is misleading and the member can ignore it.

Around account and membership

E-mail When Subject (EN / NL)
Confirm your sign-up The member creates an account on the member site. Without clicking Confirm my sign-up the member cannot log in. The link works once. Confirm your sign-up at <studio> / Bevestig je aanmelding bij <studio>
Invitation The studio adds a member in the back office. Also: an invited member who never created an account requests a new password; then the invitation goes again. Button Sign up. You've been invited to join <studio> / Je bent uitgenodigd bij <studio>
Trial class approved The studio approves the trial class request. On a decline there is deliberately no e-mail; the studio then gets in touch itself. Your trial at <studio> has been approved / Je proefles bij <studio> is goedgekeurd
New password The member requests a new password. The link is valid for one hour and works once. At most one e-mail per ten minutes. New password for <studio> / Nieuw wachtwoord voor <studio>

Around paying and memberships

E-mail When Subject (EN / NL)
Payment received A payment for a class pass or single class succeeded. Also when the studio marks a membership period as paid by hand. The e-mail states amount and VAT. Payment received for <product> / Betaling ontvangen voor <product>
Membership started The first payment of a membership succeeded. This e-mail is also the legally required advance notice: amount, period, date of the next charge, the mandate (last four digits), the text on the bank statement (<studio> via Mollie) and the fourteen-day cooling-off period. Your subscription to <product> has started / Je abonnement op <product> is gestart
Membership renewed A following period has been paid, automatically or through Pay now. Your subscription to <product> has been renewed / Je abonnement op <product> is verlengd
Charge failed The direct debit failed. The e-mail gives the reason in plain words (for example insufficient funds), the date of the new attempt and the button Pay now. The charge for <product> failed / De afschrijving voor <product> is mislukt
Membership suspended A week after the failed charge the period is still unpaid. Booking is no longer possible until it is paid; classes already booked remain. Your subscription to <product> has been suspended / Je abonnement op <product> is opgeschort
Membership cancelled The member has cancelled. The e-mail says until when the membership still runs. Your subscription to <product> has been cancelled / Je abonnement op <product> is opgezegd
Membership cancelled by the studio The studio cancelled on the member's behalf. <studio> has cancelled your subscription to <product> / <studio> heeft je abonnement op <product> opgezegd
Membership ended Thirty days after the suspension there is still no payment. The membership stops; the member can start a new one. Your subscription to <product> has ended / Je abonnement op <product> is beëindigd
Membership paused The studio has paused the membership. The e-mail gives the pause period and the new date of the next charge. Shortening or withdrawing a pause gives no e-mail. Your subscription to <product> is paused / Je abonnement op <product> is gepauzeerd
Price change announced The studio has announced a new price. The e-mail gives the old and the new price, the effective date and the option to cancel before that date. The price of your subscription to <product> changes on <date> / De prijs van je abonnement op <product> verandert op <datum>
Price change withdrawn The studio has withdrawn the announced price change. The announced price change of your subscription to <product> will not go ahead / De aangekondigde prijswijziging van je abonnement op <product> gaat niet door
Charge reversed The member reversed the direct debit of the current period at their bank. The membership is suspended as a result. Your charge for <product> has been charged back / Je afschrijving voor <product> is teruggeboekt

E-mails to the studio

The studio gets e-mail on the notification address (see Settings). If that address is not set, these e-mails do not go; the back office warns about it as soon as a membership product exists. These e-mails come from Bookasport itself and are always in Dutch.

Subject (Dutch) When
Abonnement van <member> opgeschort (membership suspended) A week after a failed direct debit the period is still unpaid. The e-mail gives the bank's reason.
Abonnement van <member> beëindigd (niet betaald) (membership ended, not paid) Thirty days after the suspension there is still no payment.
Abonnement van <member>: afschrijving teruggeboekt (charge reversed) The member reversed a direct debit. The e-mail says whether the member can still pay through Pay now, or whether the studio has to collect the amount itself. Mollie charges about € 10 per chargeback.
Rittenkaart van <member>: teruggeboekt (<amount>); de kaart is opgeschort (class pass charged back, pass suspended) The member reversed the payment of a class pass. The pass is suspended; after settling, the studio can reactivate it on the member page.
Abonnement/Rittenkaart van <member>: gedeeltelijk teruggeboekt (<x> van <y>) (partially charged back) The member reversed part of the amount. Bookasport then changes nothing automatically; the studio settles it itself.

What no e-mail is sent for

Useful for the question "shouldn't I have been notified about this?":

  • No reminder before a class, and no message on a no-show.
  • No message when joining or leaving a waitlist.
  • No message on a declined trial class.
  • No message to the member when the studio issues a class pass.
  • No message when a payment at Mollie is aborted, fails or expires before anything was paid.
  • No message when changing profile details or the password through the profile.
  • No message to the studio on a new trial class request, a new member, a booking, a normal payment, a cancellation by the member or a first failed charge. You see those in the back office.
  • No newsletters or bulk e-mails from Bookasport.
